Data migration is where many Zoho projects slow down. The software is ready, but the data is scattered across spreadsheets, an old accounting package and people's inboxes. A clear plan keeps the move predictable and avoids carrying old errors into the new system.

1. Decide what to move, and what to leave behind

  • Move what you need to run the business: customers, suppliers, products, open transactions and balances.
  • Archive old history that you only need to look up, instead of loading everything.
  • Agree the cut-off date, such as the start of a month or financial period.

2. Find and clean the sources

  • List every place data lives today and who maintains it.
  • Remove duplicates and inactive records.
  • Standardise names, phone numbers, tax numbers and units of measure.

3. Map old fields to Zoho fields

Create a simple mapping sheet that shows each old column, the matching Zoho field and any rule needed to convert it. This is also the moment to decide which new fields you need.

4. Run a test import

  • Import a small sample into a test environment.
  • Ask the people who use the data to check it against what they know.
  • Fix the rules, then repeat before the full load.

5. Cut over carefully

  • Freeze changes in the old system for a short, agreed window.
  • Load the final data and opening balances.
  • Reconcile totals such as customer balances, stock quantities and bank balances against the old system.

6. Keep the old system available for a while

Keep read-only access to the old system for a defined period so that questions can be answered without guessing. Then retire it deliberately.
